Operating boundaries, service scope, inspection sign-offs, and logistics responsibilities governing commercial procurement between KL International Trade and purchasing clients.
1. Procurement Scope & Role Definition
KL International Trade acts as a dedicated China-side procurement partner, supplier coordinator, and quality management representative. Our role is to assist international clients—particularly South African importers, wholesalers, project contractors, and brand owners—in navigating manufacturing ecosystems in Zhejiang, Guangdong, Jiangsu, and across China.
Services encompass factory screening, quotation benchmarking, sample verification, production tracking, agreed pre-shipment quality control (QC), multi-supplier cargo consolidation, and export freight coordination.
2. Service Boundary & South African Import Customs
Critical Service Boundary Notice
KL International Trade coordinates China-side factory verification, specification follow-up, agreed pre-shipment inspections, and international ocean/air freight booking (typically CIF Durban Port or CIF Cape Town Port, or FOB China port).
South African domestic import customs clearance, customs duty assessments, South African Revenue Service (SARS) import VAT, anti-dumping duties, port storage charges, and local de-stuffing are managed by the buyer directly or through their appointed licensed South African clearing agent. Where requested, partner-coordinated inland transport into Johannesburg can be arranged upon customs release.
3. Quotations, Pricing & Market Volatility
All formal quotations issued by KL International Trade specify itemized factory prices, service fees, export packing expenses, and projected shipping estimates:
- Validity Windows: Quotations typically remain valid for 15 to 30 calendar days from the date of issue, unless otherwise noted in writing.
- Commodity & Raw Material Fluctuations: In categories with high metal, polymer, or semiconductor volatility, factory quotes may be subject to recalibration if market index prices change substantially before purchase order confirmation.
- Ocean Freight Adjustments: International container freight rates fluctuate on a bi-weekly carrier basis. Shipping charges are locked upon carrier vessel booking confirmation.
4. Quality Inspection Protocols & Acceptance
Quality assurance protocols follow pre-agreed defect classification criteria (Critical, Major, Minor) established with the buyer prior to mass production release:
- Pre-Shipment Inspections: Where agreed in the client's procurement agreement or purchase order, pre-shipment inspections (AQL sampling or contracted checklists) generate photographic and dimensional test reports for client authorization prior to export dispatch.
- Factory Warranty Recourse: In the event of supplier defect disputes, KL International Trade leverages ground presence in China to negotiate rework, batch replacement, or credit allowances with the manufacturing facility according to the underlying supply agreement.
5. Confidentiality & Proprietary Tooling
Client design files, CAD drawings, private labeling artworks, and custom tooling investments remain the proprietary property of the client.
Where required by project scope and requested by the client, non-disclosure (NDA) and non-circumvention terms are established with participating manufacturing partners prior to releasing proprietary drawings. Custom tooling ownership and exclusivity terms are governed by the specific manufacturing agreement negotiated for the project.
6. Governing Principles & Direct Assistance
Individual commercial transactions and service engagements are governed by specific written purchase contracts (INCOTERMS 2020). These general website terms provide an operational overview; mutually signed commercial contracts, proforma invoices, and purchase orders supersede website summaries in all legal respects.
